This Privacy Policy describes how Mountain Estates Equipment LLC (“Company,” “we,” “us,” or “our”) collects, uses, discloses, and protects information when you use our mobile application and related services (collectively, the “Service”). The Service is operated on behalf of The Colony at White Pine Canyon and is available to owners, renters, approved guests, administrators, and drivers.
By accessing or using the Service, you agree to the collection and use of information as described in this Privacy Policy.
1. Information We Collect
1.1 Personal Information
We collect the following personal information when users create an account, sign a waiver, or otherwise interact with the Service:
- Name
- Email address
- Profile photo (optional when supplied)
- Group assignment (owner, renter, or guest group)
- Waivers, including:
- Legal name as signed
- Digital signature
- Timestamp of signature
- Waiver PDF/image stored in our secure file system
We do not collect personal phone numbers.
1.2 Device and Technical Information
When users access the Service, we automatically collect:
- IP address
- Device type and operating system
- App version
- Diagnostic, crash, and installation data (via Sentry)
- Analytics and usage metrics (via Google Analytics)
All analytics, crash data, and install metrics are anonymized and may be retained even if a user’s account is deleted.
1.3 Location Information
Drivers:
We collect continuous real-time background location from driver devices for operational routing, visibility to admins, and safety.
Driver devices are company-owned, contain no personal driver information, and are used solely for work.
Riders (owners, renters, guests):
We do not collect or track location except:
- When a rider triggers Emergency SOS, at which point precise GPS coordinates are securely transmitted to the active driver and administrators.
We do not store historical location trails for drivers or riders.
2. How We Use Your Information
2.1 Service Operation
- Account creation and authentication
- Waiver management and legal record-keeping
- Group assignment and invite-code onboarding
- Ride queue functionality
- Driver routing and real-time visibility
- Pickup request handling
- Route switching (automatic and manual)
- Safe operation of predefined routes
2.2 Safety and Emergency Response
- Sending SOS alerts with GPS coordinates to drivers and administrators
- Facilitating 911 calls via the device dialer
- Allowing drivers to deviate from predefined routes only in emergency circumstances
2.3 Administration and Compliance
- Monitoring queue integrity and missed-ride logic
- User management (creation, disabling, and deletion)
- Enforcement of access hours and permissions
- Compliance with legal obligations, including waiver retention
2.4 Analytics and Service Improvement
- App performance optimization
- Crash detection and debugging
- Aggregate usage analysis
- Enhancing reliability, safety, and scheduling efficiency
3. How We Share Information
We do not sell or rent personal information.
We may share data only in the following circumstances:
3.1 With Service Providers
- We work with trusted third-party providers:
- Supabase – authentication, database, storage
- Mapbox – mapping and routing
- Google Analytics – anonymized analytics
- Sentry – crash and diagnostic reporting
- These providers may access personal data only as necessary to operate the Service and are bound by confidentiality and data protection obligations.
3.2 Within the App (Role-Based Access)
- Access is restricted by user role:
- Administrators: Full access to all user and queue data.
- Drivers: View only: Names of users in the active queue, group-assigned riders for pickup, and emergency contact alerts during SOS events.
- Owners/Renters/Guests: Can only view names and photos of users within their group, the size of the overall queue (but not identities outside their group), and their own participation status in the active queue.
- Users cannot view other groups’ data, even if they share a common lot.
3.3 Legal or Safety Requirements
- We may disclose information to comply with legal obligations, to respond to lawful requests (court orders, subpoenas, etc.), to protect the safety, rights, or property of users or the community, and to assist emergency responders in events triggered by SOS features.
4. Data Retention & 5. Invite Codes and Guest Access
4.1 Account Data
Personal information is retained only as long as the user maintains an active account. When an account is deleted:
- All personal data, including name, email, and group association, is automatically deleted.
- Analytics and crash data (which are anonymized) may still be retained.
4.2 Waiver Data
Waivers are not deleted, even if the associated account is removed. We retain waiver records permanently for legal and liability purposes. If a user deletes their account and later recreates it, they must sign a new waiver.
5. Invite Codes and Guest Access
- Invite codes may be generated and shared by owners or authorized users.
- We store who invited whom and maintain a chain of association.
- Codes may be multi-use and may be revoked by the inviting owner.
- Guests must sign the waiver and accept this Privacy Policy.
- Guests may be removed by group owners or administrators.

We implement administrative, technical, and physical safeguards designed to protect personal information, including:
- Encrypted transmission (HTTPS/TLS)
- Role-based access controls
- Secure storage in Supabase
- Access logging for administrative actions
- Restriction of location data to operational needs
No system is 100% secure, but we take reasonable measures to protect all user data.
7. Your Rights and Choices
Depending on your jurisdiction, you may have the right to:
- Access your personal information
- Request correction or deletion
- Withdraw consent
- Request a copy of your data
- File a complaint with a regulatory authority
Account deletion may be initiated via the app or by contacting us directly. Waiver records cannot be deleted due to legal obligations.
8. Children’s Privacy & 9. Emergency SOS

The Service is intended for adults 18 years or older. Minors may ride only if their legal guardian signs a waiver on their behalf and they ride under the supervision of an authorized adult. We do not knowingly collect personal information from minors without guardian consent.
9. Emergency SOS
When SOS is activated:
- The app launches the device phone dialer to call 911
- The rider’s precise GPS coordinates, name, and group are sent to:
- The active driver
- Administrators
This information is used solely for emergency response.

The Service is operated in the United States. By using the Service, users consent to the transfer and storage of their information within the United States.
11. Changes to This Policy
We may update this Privacy Policy periodically. Changes will be reflected with an updated “Last Updated” date. Continued use of the Service signifies acceptance of the updated policy.
